Summary

Within the Nordic HF conference web site and Combitech AB (conference administrator) we treat personal data in order to administer our relationship with prospective, current and old conference participants. We may also use the information we have about you to provide relevant information about upcoming Nordic HF conferences and availability of conference proceedings for purchase and download. The main purpose of the registration is to provide a simple procedure for submitting your interest in the conference, to perform registration and payment of the conference fee.

You are entitled to request registry extracts of what information we treat about you as a person, and that data is deleted or changed if they are incorrect or incomplete. This is done in accordance with the GDPR (General Data Protection Regulation) rules.

This Privacy Policy contains information about how we handle your personal information. We encourage you to read our Privacy Policy carefully before agreeing to process your personal information.

Personal data is information that can be used individually or together with other information to identify, locate or contact an individual. Examples of personal data are name, address, e-mail address, phone number and company name.

Processing of personal data means all types of personal data management, such as: collection, analysis, registration and storage.

Personal Data Responsibility is the person who determines the purpose of processing personal data and who determines what personal data is requested. It is the personally responsible person (organisation) who is ultimately responsible for processing your personal information in accordance with applicable personal data law.

When you register via a form, shop conference proceedings and pay conference fees in our webshop or visit our website, you may be asked to disclose information. Depending on the situation, we may ask for the following personal information:

  • Name
  • Address
  • E-mail address
  • Phone number
  • Company you work for
  • Other information such as free text or form responses
  1. How do we use the information?

The information you provide is used for the following purposes:

  • Registration as participant at the conference
  • Sending of e-mails with updated conference information
  • Preparation of lists of participants that will be provided in paper form to all participants of the conference
  • Credit information for billing using Stripe service (you’ll find  Stripes Privacy Policy here: https://stripe.com/se/privacy )
  • Preparation of invoice (if requested) to be sent in the name of Combitech AB.

By agreeing that we process your personal information for the purposes stated above you agree that:

  • We process your personal information under this privacy policy
  • We will contact you by email or phone
  1. How long is the data saved?

We only process personal data for so long that we can fulfil the purpose of their collection, then we delete the data. This is typically until the next planned conference (three years after the current conference).

 

  1. Who can share the information?

Data will be available to a limited number of people within the Nordic HF Organisation and Programme Committees who work with the conference, programme and invoicing/accounting process.

The name, organisation, e-mail information will be given in the printed List of Participants at the current conference. This list will be part of the handout in the conference documentation package to be given to all participants.

 

  1. Where is the data kept?

The data is kept in Nordic HF’s e-commerce platform WooCommerce on one.com’s servers.

One.com’s servers are located in Copenhagen. Read more about their security on their website.

 

  1. You are entitled to know what information we have about you

You are entitled to receive information about what information we have about you in the form of a registry extract. You may also request that we correct incorrect information or delete information about you. You are also entitled to withdraw your consent for processing your personal information. If you withdraw your consent, we will remove the information we have about you. Please note that deletion of your personal data may affect the delivery of information within the context of Nordic HF such as conference newsletters etc.

If you wish to withdraw your consent, or request registry reprints, corrections or deletions, please contact us at the e-mail address we have provided in the contact details section. To access your registry extract, you need to send an electronic copy of a signed document with your request.
